How to Set Up KDS (Kitchen Display System) and EDS (Expedite Display System)
Manage kitchen production workflows and order fulfillment in real time

What is KDS and EDS?

Overview

The Kitchen Display System (KDS) and Expedite Display System (EDS) replace traditional printed kitchen tickets with a digital workflow that allows kitchen and service teams to track order progress in real time.


KDS (Kitchen Display System)

KDS is primarily used by kitchen staff to:

  • Receive incoming orders
  • Track preparation progress
  • Manage production timing
  • Update order statuses

KDS helps improve kitchen efficiency, reduce paper waste, and ensure orders are prepared accurately.


EDS (Expedite Display System)

EDS is designed for front-of-house staff or expediters to:

  • Track completed dishes from the kitchen
  • Coordinate order pickup and serving
  • Confirm that orders have been delivered or collected

EDS acts as the final stage in the order fulfillment process before an order is considered complete.


When to Use

Use KDS and EDS when:

  • Operating a high-volume kitchen
  • Managing multiple preparation stations
  • Replacing printed kitchen tickets
  • Using Queue Number Display
  • Requiring real-time order status updates

How to Add a KDS or EDS Device

Before You Begin

Prepare Dedicated Devices

Because KDS receives real-time order updates, we strongly recommend not installing both the POS App and KDS App on the same tablet.

Although KDS and EDS share the same application, if your kitchen and front-of-house teams operate in different locations, we recommend using:

  • One tablet for KDS
  • One tablet for EDS

This prevents unnecessary switching between modes and improves operational efficiency.


Verify Your Subscription

Before configuring KDS or EDS, ensure your subscription plan includes KDS/EDS functionality.

If your subscription does not include KDS/EDS:

  • Devices can still be configured.
  • Orders will not be synchronized.
  • The system will not function as expected.

If you are unsure whether your subscription includes KDS/EDS, please contact customer support.


Add a Device in the Portal

To manage KDS and EDS devices:

  1. Go to Portal → Branch → POS Device.
  2. Click Add POS Device.
  3. Create a device entry for each KDS or EDS device you plan to use.

If KDS and EDS will run on separate tablets, create separate device records.


POS Device Name

Enter a descriptive name used to identify the device.

Examples:

  • Kitchen_Main
  • Kitchen_Hot_Station
  • EDS_FrontCounter

We recommend following a consistent naming convention across all devices.


Assign a Store

Select the store where this device will operate.

Orders received by the device will be limited to the selected store.


POS Device Type

Select KDS as the device type.

This designates the device as a Kitchen Display device for the selected store.

If you intend to use EDS on a separate tablet:

  • Create another POS Device.
  • Also select KDS as the device type.
  • EDS mode will be enabled later inside the application.


Install the KDS Application

Download the App

On your Android tablet:

  1. Open Google Play Store.
  2. Search for Ideku KDS. or Simply use the URL.
  3. Download and install the application.

💡If using separate devices for KDS and EDS, install the app on each device.



Log In to the KDS App

Sign In

Currently, KDS only supports login using the Merchant Owner account.

⚠ Manager accounts may not be able to receive or display orders.

To log in:

  1. Open the Ideku KDS app.
  2. Enter your Merchant Owner credentials.
  3. Select the appropriate Store.
  4. Select the KDS device you created in the Portal.

The system will then begin receiving orders.



Processing Orders with KDS

Current Orders View

After login, the application opens to Order View.

This screen displays all active and in-progress order tickets.

You can filter orders by:

  • All Orders
  • Dine-In
  • Takeaway
  • Delivery

Understanding Order Tickets

Each ticket typically represents one customer order.

A ticket displays:

  • Order type
    • Dine-In
    • Takeaway
    • Delivery
  • Elapsed time
    • HH:MM:SS
  • Order number
  • Queue number
  • Next available action
  • Ordered items



New Order Tickets

Ticket Colors

New tickets are displayed in Green.

Default escalation timing:

Green -> New order

Yellow -> After 20 minutes

Red -> After 40 minutes

These thresholds can be customized later.


Order Status Flow

Every new order begins with the status:

Received

However, the button displayed on the ticket is:

Preparing

This indicates the next action available.

When you tap Preparing:

  • The preparation timer starts.
  • The action button changes to Ready.
  • Kitchen staff should begin preparing the order.

If Queue Number Display is enabled, customers will see their queue number move into the Preparing stage.

Completing an Order Ticket

When preparation is complete:

  1. Tap each completed item within the ticket.
  2. Completed items will:
    • Be crossed out
    • Become greyed out

If you tapped an item accidentally:

  • Double-tap the item to restore it.

Mark Order as Ready

After all items are marked complete:

  1. Tap Ready.

If some items remain incomplete, the system displays:

All Items Not Ready

Once marked Ready:

  • The ticket disappears from Order View.
  • The ticket moves to Past Orders.
  • If Queue Number Display is enabled, the queue number appears in the Ready section.

Splitting Orders

If an order contains multiple items:

  1. Tap Split Order in the upper-right corner of the ticket.
  2. Assign portions of the order to different staff members.

This is useful for kitchens with multiple preparation stations.


Using EDS to Complete Orders

Purpose of EDS

After food has been prepared, EDS helps staff track whether:

  • The order has been picked up
  • The order has been served

The next available action in EDS is always:

Complete


Enable EDS Mode

Because KDS and EDS share the same application:

  1. Go to Settings → General.
  2. Enable EDS Mode.

We recommend using separate devices for KDS and EDS whenever possible.

Completing an Order

Once all food has been served or collected:

  1. Mark items as completed.
  2. Tap Complete.

The ticket will immediately disappear from the active queue.

If Queue Number Display is enabled:

  • The corresponding queue number is removed from the Ready section.



Useful Settings

General Settings

Configuration Paths

KDS App:
Settings → General

Portal:
KDS/EDS → General → Select Store → Edit Device

Paid Orders Only

By default:

  • Dine-In orders appear after Save.
  • Takeaway orders appear after Checkout.

Enable Paid Orders Only if you want the kitchen to receive orders only after payment is confirmed.

Auto Prepare Ticket

When enabled:

  • Orders automatically enter Preparing status.
  • Kitchen staff do not need to manually tap Preparing.

The first available action becomes:

Ready

This is recommended for high-volume operations.

Show Hold Item

In Dine-In scenarios:

  • Some items may be placed on Hold from POS.
  • Held items are not sent to KDS until a staff member taps Fire.

Example:

A customer requests dessert after the main course.

Without Show Hold Item:

  • Dessert does not appear in KDS.

With Show Hold Item enabled:

  • Dessert appears immediately.
  • It is clearly marked as Hold.

This provides better visibility for kitchen planning.



Display Settings

Look & Feel

Customize:

  • Theme (Light / Dark)
  • Font Size
  • Item Sorting Logic

Category Display

You can choose which menu categories appear on KDS.

You may also:

  1. Select a category.
  2. Click the Gear icon.
  3. Exclude specific items.

Hidden items will not appear on KDS tickets.

This is useful when certain items do not require kitchen preparation.

Ticket Layout

Full Column

Tickets are displayed horizontally.

Advantages:

  • Easier to see item details
  • Better for low-volume kitchens

Grid View

Tickets are displayed in a multi-row grid.

Advantages:

  • More tickets visible simultaneously
  • Better for high-volume environments

Trade-off:

  • Item lists may require scrolling

Ticket Timer

Ticket colors indicate waiting time.

Default:

  • Green → New
  • Yellow → 20 minutes
  • Red → 40 minutes

You can customize these thresholds:

KDS: Tap the Clock icon.
Portal: Modify timer values directly.


Viewing Past Orders

Past Orders

To review completed tickets:

  1. Open Past Orders from the left menu.
  2. The system displays the most recent 15 tickets.
  3. Swipe right to load additional history.

Recall an Order

If a completed order needs to be prepared again:

  1. Open Past Orders.
  2. Select the ticket.
  3. Tap Recall Order.

The ticket will return to the active queue.

⚠ Void orders cannot be recalled.



Best Practices

  • Use separate devices for POS, KDS, and EDS whenever possible.
  • Enable Auto Prepare Ticket only if your kitchen workflow supports it.
  • Configure ticket timer thresholds according to your service-level targets.
  • Use Category Display filtering to reduce kitchen noise.
  • Use Split Order for multi-station kitchens.
  • Test Hold and Fire workflows before going live.
  • Establish a clear ownership process between KDS and EDS teams.

Common Pitfalls

  • Forgetting to mark individual items complete before tapping Ready.
  • Confusing Ready and Complete statuses.
  • Not enabling Paid Orders Only when payment confirmation is required.
  • Renaming kitchen workflows without retraining staff.
  • Assuming Hold items are lost when they simply have not been Fired yet.
