Setting Up the Kiosk
Set up and run the self-order Kiosk: Portal configuration, device setup, the customer ordering flow, and how kiosk orders are fulfilled.

Overview

Kiosk (IDEKIOSK) is a self-order screen that customers use to browse the menu, customize items, and pay on their own - without a cashier taking the order. It runs as a dedicated app on a touchscreen device at your store.

It helps merchants reduce queues at the counter, free up staff, increase average order value through recommendations and upsells, and offer a consistent, multi-language ordering experience.

When to Use

Set up a Kiosk when you have counter-service or quick-service traffic that you want customers to self-order, when you want to reduce cashier workload at peak times, or when you want a branded self-service point that can take payment on the spot or send the customer to the counter to pay.

Before You Begin

Make sure you have the following in place:

  • A kiosk device — a touchscreen Android device with the IDEKIOSK app installed and a stable internet connection.
  • A registered Kiosk POS device — a POS device set up as a Kiosk type for the store, so the app can be linked to it (see below).
  • A printer (recommended) — a receipt printer connected to the kiosk to print the order ticket and queue number.
  • Payment set up — a payment gateway or terminal configured if you want customers to pay on the kiosk; otherwise you can use Pay at Counter.
  • Menu items enabled for Kiosk — items must be made available on the Kiosk channel (see below).

Set Up Kiosk in the Portal

Setting up a kiosk in the Portal has two parts: registering the kiosk device under Branch → POS Devices, and configuring the experience under IDEKIOSK (which has a Settings page and an Appearance page).

Add a Kiosk Device

First, register the device so the kiosk app can link to it. Go to Branch → POS Devices and click Add POS (labeled Add Device on some accounts), then:

  1. Enter a POS Device Name to identify the kiosk.
  2. Select the Store the kiosk belongs to.
  3. In the Type dropdown, select KIOSK.
  4. Click Save.

The device is created with an Offline status and turns Online once the IDEKIOSK app signs in and selects it (see Set Up the Kiosk Device).

Note  The device Type cannot be changed after the device is created, and a device can only be deleted while it is Offline. Managing devices requires the branch / POS-device permission.

Kiosk Settings

Go to IDEKIOSK → Settings to configure:

  • Service Available — enable the order types the kiosk offers: Dine In and/or Takeaway. If only one is enabled, the kiosk skips the service-type step.
  • Payment Methods — choose which methods appear, grouped into Pay at Kiosk (the customer pays on the device) and Pay at Counter (the customer completes payment at the counter).

Kiosk Appearance

Go to IDEKIOSK → Appearance to brand the kiosk and control its idle behavior:

  • Logo, Font, and Colors — upload your logo and set the primary and secondary colors and font.
  • Slide Show — images shown on the start screen, with an interval timing and an optional message.
  • Screen Saver — images and a message shown when the kiosk is idle.
  • Banner and Announcement — promotional banners and an announcement message inside the ordering screens.
  • Session Timeout — how long the kiosk waits during inactivity before prompting to cancel the order and returning to the start screen.
  • Pager / Tent thumbnails — the images shown when customers are asked to take a pager or tent number.

Make Menu Items Available on Kiosk

Kiosk shows only items that are enabled for it. On the Custom Menu, make sure that under Devices the Kiosk option is selected, and that under Available For the matching order types (Dine-in / Takeaway) are selected. Otherwise those items will not appear on the kiosk.

Payment Methods

The kiosk uses the same payment gateways you configure under Integration → Payment; the Kiosk Settings page simply chooses which of those are offered on the kiosk. Depending on your region and setup this can include card terminals (for example Stripe, AXS), QR / QRIS payment.

Note  With Pay at Counter, the customer still places the order on the kiosk and the kitchen ticket is sent, but the customer completes payment at the counter - the kiosk shows a “proceed to counter” message. Use this when you do not want on-device payment, or as a fallback alongside Pay at Kiosk.

Set Up the Kiosk Device

Sign In and Select the Store

On first launch, staff sign in and link the device:

  1. Log in with a kiosk-enabled account (email and password).
  2. Select the Store and the POS Device (the kiosk device you registered under Branch → POS Devices), then tap Continue.
  3. Allow the requested permissions and let the app download the menu, prices, promos, and settings.

When the sync completes, the kiosk opens to its start screen and is ready to take orders.

Device Settings (Staff)

The kiosk runs locked down so customers cannot leave the ordering flow. Staff open the hidden settings by double-tapping the store logo on the menu screen and entering the PIN. From Setting you can:

  • Kiosk — set the kiosk name, choose the table type (Pager or Tent), send logs, and view the app version.
  • Printer — add and configure a printer over Bluetooth, Ethernet/Wi-Fi, or USB, set the receipt template, and run a test print.
  • Terminal — register and connect a payment terminal (for example NETS, AXS, or Stripe). This option appears for Singapore merchants.
  • Logout — sign the device out.

Note  If you offer Pay at Kiosk with a card terminal, register the terminal in Setting → Terminal before going live, and run a test print from Setting → Printer so tickets print correctly.

Customer Ordering Flow

Start Screen

When idle, the kiosk shows your slideshow and a Tap to Start prompt. A language switcher is available so customers can choose their preferred language before ordering.

Choose Service Type

The customer selects Dine In or Take Out (based on what you enabled in Service Available). If only one service type is enabled, this step is skipped.

Browse and Customize

Customers browse by category, tap an item, and customize it - choosing required or optional modifiers, adjusting quantity, and adding a special request. A recommendation row can appear at the top to promote items, and customers can log in as a member for member pricing, points, and stamp rewards. Items are then added to the cart.

Review the Cart

On the Your Order screen, customers review items, change quantities, add more items, apply a coupon or voucher, and (for members) redeem points. The summary shows subtotal, service charge, rounding, and total payment. Tapping Order Now moves to payment.

Pager or Tent Number

If you use pagers or tent numbers, the kiosk asks the customer to grab one near the kiosk and enter the number, so staff can match the order to the customer at collection.

Payment

On the Select Payment Method screen, the customer chooses a method:

  • Pay at Kiosk — the customer pays on the device via the card terminal or by scanning a QR code, and the kiosk waits for confirmation.
  • Pay at Counter — the order is placed and the customer is directed to the counter to pay.

Order Confirmation

When the order is placed, the kiosk shows an Order Completed message and, if a printer is connected, prints a ticket with the queue number (and the pager or tent number, if used). After a few seconds it returns to the start screen for the next customer.

Note  If the customer stops interacting mid-order, the kiosk shows a “You’ve Been Away!” prompt with a short countdown. If there is no response, the order is cancelled and the kiosk returns to the start screen. The inactivity wait is set by Session Timeout in Kiosk Appearance.

Order Management and Fulfillment

Where Kiosk Orders Appear

Kiosk orders are sent to the POS and appear in the standard Order view, alongside regular POS orders. They do not appear under the Online Order tabs (Idefood / Online / Scheduled), which are for QR and delivery orders. The kitchen ticket auto-prints so preparation can start.

You can recognize a kiosk order by the extra K in its order number: kiosk invoices begin with INVK, compared with INV for regular POS orders and INVQ for QR / IdeFood orders.

Kitchen and Status Updates

If you use a KDS (Kitchen Display System), kiosk orders flow to it and kitchen staff advance them through Received, Preparing, Ready, and Complete. The kiosk lifecycle is driven on the KDS rather than by progress buttons on the POS.

Queue, Pager, and Tent Numbers

Each kiosk order is given a queue number, printed on the ticket. If you use pagers or tent numbers, those are printed too, so staff can hand the order to the right customer at collection.

Languages

The kiosk supports English, Bahasa Indonesia, Khmer, Simplified Chinese, and Traditional Chinese. Customers can switch language from the start screen and during ordering.

Best Practices

  • Test the full flow before going live: place a real order, pay, and confirm the ticket and queue number print correctly.
  • Keep the menu tidy for self-service - clear item names, photos, and well-labeled required vs optional modifiers.
  • Use the recommendation row and banners to promote high-margin or popular items.
  • Set a sensible Session Timeout so abandoned orders clear on their own during busy periods.
  • If using Pay at Kiosk, confirm the terminal is registered and connected; keep Pay at Counter available as a fallback.
  • Match branding (logo, colors, slideshow) to your counter signage for a consistent look.

Common Pitfalls

  • Items not showing on the kiosk - the Custom Menu does not have Kiosk selected under Devices, or the item’s Available For order types do not match.
  • No ticket prints - the printer is not set up or the test print was not run.
  • Pay at Kiosk not working - the payment terminal is not registered or connected on the device.
  • Looking for kiosk orders under Online Order - kiosk orders are in the standard Order view, not the Online Order tabs.
  • Expecting the POS to advance kiosk order statuses - the kitchen progression is driven on the KDS.
  • Session Timeout too short or too long - orders cancel before customers finish, or abandoned carts linger.
