Overview
The GrabFood integration connects your GrabFood store to Ideku through IdeConnect. Once connected, GrabFood orders flow straight into your POS so staff can accept and prepare them alongside in-store orders, and your menu is synced to GrabFood from Ideku.
This avoids juggling a separate GrabFood tablet for order taking, keeps one menu as the source of truth, and lets you manage the order lifecycle from the same screen your team already uses.
When to Use
Set up the GrabFood integration when you already sell (or are onboarding) on GrabFood and you want incoming GrabFood orders to appear and be managed on your Ideku POS, with your menu pushed from Ideku.
Before You Begin
- IdeConnect add-on — Your store must have the IdeConnect add-on enabled. Without it, the IdeConnect page shows a “Contact Us” message instead of the delivery partners.
- A GrabFood merchant account — You connect by authorizing on GrabFood’s side, so you need an active GrabFood merchant account for the store.
- A Custom Menu assigned to GrabFood — Set up at least one Custom Menu with GrabFood enabled, the Delivery order type, and items (see “Make Menu Items Available on GrabFood”). You choose this menu during the connect flow, so it must exist first.
- Permission — Managing IdeConnect requires the Integration admin permission.
Make Menu Items Available on GrabFood
GrabFood receives the items you make available to it, and you select the menu during the connect flow - so set this up first. On the Custom Menu, enable GrabFood and the Delivery order type on the menus you want to sell there, and make sure they contain items. Only Custom Menus set up this way will be selectable when you connect.
Set the Delivery Price (Tax-Inclusive)
Each item has a separate Price (Delivery) - the price that is sent to GrabFood, and it can differ from your dine-in / takeaway price. Ideku pushes this amount to GrabFood exactly as you enter it, without adding tax or the platform’s commission on top.
Because GrabFood charges the customer the price you send, set the Delivery Price as a tax-inclusive amount - and usually higher than your in-store price - so that it absorbs both the tax and GrabFood’s commission. This is why delivery-platform prices are typically set tax-inclusive: the platform displays and collects exactly the price you provide, and does not add your tax separately.
Caution If you enter a tax-exclusive base price as the Delivery Price, GrabFood will display only that base number - you would under-collect for tax and commission. (Whether a tax is inclusive or exclusive is configured under Settings → Tax, where a store can have one Inclusive Tax.)
Use Sync Menu to push menu changes; Ideku notifies GrabFood to pull the latest menu (items, categories, prices, availability, and selling times). Item and modifier rules are validated during sync, so if GrabFood reports an issue, correct the flagged item and sync again.
Note Menu sync is triggered by you (it is not automatic on every edit). After changing prices, availability, or items, run Sync Menu so GrabFood reflects the change.
Connect GrabFood in the Portal
Open IdeConnect
In the Merchant Portal, go to Integration → IDECONNECT. You will see the available delivery partners as cards. Select the GrabFood card to start.
Select the Menu and Proceed
Clicking GrabFood opens a Select Menu window listing your eligible Custom Menus - the ones with GrabFood and the Delivery order type enabled and that contain items. Check the menu(s) you want to sync to GrabFood, then click Next.
The window then validates your menu and runs a quick duplicate-items check. If there are no conflicts it shows a “Here’s All good.” message - click Proceed to continue to GrabFood. If it finds conflicting or invalid items, it lists them so you can fix those first, then start again.
Caution If you have not assigned any Custom Menu to GrabFood, the Select Menu list will be empty and Next stays disabled - there is nothing to select. Set up a Custom Menu for GrabFood first (see above), then start the connection again.
Note On older accounts still using the previous menu version, GrabFood instead opens a Terms & Conditions checklist dialog (enable the GrabFood option on the menu, enable the Delivery order type, fill in the delivery price, and list the store with its delivery pricing), followed by a separate Allow Access step. The end result - authorizing on GrabFood - is the same.
Authorize on GrabFood
Clicking Proceed opens a GrabFood authorization window. Sign in / authorize on GrabFood to grant access. When you return, the Portal refreshes the connection status.
Note GrabFood connects through a secure authorization redirect — you approve access on GrabFood's side rather than typing in credentials. After you return, the connection may not show as Approved right away: it stays not‑yet‑connected until GrabFood confirms the store is active, and then its status becomes Approved. The connection can also show Rejected, Suspended, or Disconnected — a rejected or suspended connection shows the reason on the GrabFood detail page (a disconnected one shows a "disconnect in process" message).
Disconnecting
To stop the integration, open the GrabFood detail page and click Disconnect, then confirm. The store is unlinked from GrabFood.
Store Hours, Busy Mode, and Auto-Accept
Some GrabFood controls are managed on GrabFood’s side, not in the Ideku Portal:
- Store open / closed and busy mode — Pausing the store, going busy, or opening/closing is done in your GrabFood merchant app. Ideku does not push these from the Portal.
- Operating hours — Selling times are sent to GrabFood as part of the menu, so set item/menu availability windows in your menu and sync.
- Auto-accept — GrabFood does not have an auto-accept toggle in the Ideku Portal. Whether an order needs manual confirmation is determined by GrabFood; orders that require confirmation arrive on the POS as Waiting Sales Confirm for staff to accept.
Caution GrabFood store hours are set on GrabFood's side, not in Ideku. The Portal's Operating Hours / Delivery Hours are not sent to GrabFood — they only affect Ideklu channels (POS, IdeFood, scheduled orders). GrabFood keeps its own hours from the Grab merchant app, and the two are not reconciled, so if they differ GrabFood follows its own hours (for example, it can keep accepting orders outside your Portal hours).
We recommend keeping the two in sync — set the same operating hours in the GrabFood merchant app as in the Portal — so customers see consistent open/closed times across channels. (To limit when a specific item appears on GrabFood, set that item's availability window in Ideku; item-level windows do sync to GrabFood.)
Handling GrabFood Orders on the POS
Where They Appear
GrabFood orders arrive on the POS Online Order screen, under the Online tab (delivery orders). You can filter the list by delivery method and choose Grabfood. Use the Sync button to pull the latest incoming orders; the device must be online for new orders to appear.
Accept or Reject a New Order
A new order that needs confirmation arrives as Waiting Sales Confirm. Tap Accept to confirm it, or Reject to decline (you confirm the rejection in a dialog). Accept promptly so the delivery timing stays accurate.
Prepare and Hand Over
After accepting, the order moves to On Process. When it is prepared, tap Ready to Pick Up so the Grab driver can collect it.

Note For GrabFood, pickup and completion are driver-driven - the order is marked collected and then completed automatically based on the Grab driver’s progress, so there is no separate manual “Picked Up” or “Complete” step on the POS for a Grab order.
Adjust the Estimated Ready Time
While a Grab order is On Process, you can update the estimated ready time by tapping the Estimated Time value and picking a new time. This can be done once per order, and the new time must stay within GrabFood’s maximum limit - if you exceed it, the POS blocks the change and tells you the estimate exceeds the maximum.
Edit an Order
Where GrabFood allows it, you can Edit an accepted Grab order (for example to mark items unavailable or reduce quantities). Editing is limited - typically once, and only after the order is accepted; quantities can be reduced but not increased. If it can’t be edited, the POS advises you to contact the delivery platform’s support.
Cancel an Order
To cancel, tap Cancel and choose a Reason for Cancellation:
- Most or All items are unavailable
- We’re too busy right now
- We’re closed right now
- We’re closing soon
Caution GrabFood limits how many orders you can cancel per day, and an order cannot always be canceled once it has progressed. The POS shows how many cancellations you have left, and if an order can no longer be canceled it tells you to contact Grab support.
Best Practices
- Test with a live order after connecting: confirm it arrives on the Online tab and that Accept, Ready to Pick Up, and completion behave as expected.
- Sync the menu after any price, availability, or item change so GrabFood matches your POS.
- Set the Delivery Price tax-inclusive and marked up for commission, so the customer-facing GrabFood price is correct.
- Accept quickly and keep the estimated ready time realistic; adjust it while On Process if the kitchen is running behind.
- Watch the Online Order list and sync regularly so no incoming order is missed.
- Manage store open/close and busy status in your GrabFood merchant app; use cancellation reasons that reflect the real situation.
Common Pitfalls
- IdeConnect page shows “Contact Us” - the store does not have the IdeConnect add-on enabled.
- Nothing to select in the Select Menu window - no Custom Menu has GrabFood + Delivery + items; set one up first, then connect.
- Delivery Price set tax-exclusive - GrabFood shows only the base price, so tax and commission are not covered; enter a tax-inclusive delivery price.
- Menu changes not reflected on GrabFood - Sync Menu was not run after editing.
- Looking for GrabFood orders under the wrong tab - they are on the Online (delivery) tab, not IdeFood.
- Expecting to adjust the estimated time more than once, or beyond the limit - it is a one-time change and capped by GrabFood’s maximum.
- Trying to set store hours or busy mode in the Portal - those are managed in the GrabFood merchant app.
- Hitting the daily cancellation limit - cancel only when necessary and with the correct reason.
