Overview
QR Ordering (IDEFOOD) lets customers browse your menu and place orders from their own mobile devices by scanning a QR code or opening an ordering link.
It helps merchants reduce queue time and manual order taking, improve table turnover, enable contactless ordering, support both dine-in and takeaway flows, and integrate online and offline payment methods.
QR Ordering is especially useful for high-traffic restaurants, quick-service environments, and stores offering self-service ordering.
When to Use
Set up QR Ordering when you want customers to order directly from their table, you offer takeaway or online pre-order, you want kiosk-like ordering without extra hardware, you want to reduce cashier workload, or you are integrating online payment gateways.
Decide Customer Payment Methods
Offline Payment

How to Configure
- Go to Integration → Payment → Payment Offline.
- Click Add Payment Method and enter a payment name (for example, SGQR, Bank Transfer, or Cash on Delivery).
- Save the method so it becomes available for selection.
Offline payment methods are ones you define yourself. Once added, they appear as selectable options on the POS Checkout screen and are used for record-keeping purposes only.
Important Behavior
Offline payment means the POS records the payment method, but the actual transaction does not go through the POS system.
For example, if you added SGQR as an offline method: the cashier selects SGQR at checkout, the merchant verifies the actual payment on an external device, and the order shows SGQR as the payment method in order history.

Third-Party Payment Integration
If you integrate with a supported payment provider, customers can pay using contactless cards or QR payment, payment confirmation is automatically reflected in the POS, and customers can pay directly on POS terminals, kiosks, or online ordering pages. This enables Pay-at-table or Pay-online flows without cashier intervention.

If you already have a GDC merchant account, you can connect it for streamlined payment collection.
Activate Payment Settings
After configuring payment methods, go to Settings → Info, click Edit, enable the desired Payment Methods (enable both offline and online if you use both), then click Save.

Configure IDEFOOD QR Ordering
Dynamic QR
Dynamic QR codes are generated temporarily to let customers place dine-in orders. Typical use cases are sharing tables between multiple customer groups and creating temporary ordering access.
Key Characteristics
- Available only for Dine-In scenarios.
- Generated from the POS (Generate QR), then printed and handed to customers.
- The QR expiration duration is configured in the Portal, under the IDEFOOD Dynamic QR settings (Time-Limit / Set Duration) - not on the POS.

Payment Options
- If third-party payment is enabled, multiple payment methods can be offered.
- If only offline payment is enabled, only Pay Later is available.
Static QR
Static QR codes are used for table ordering, website ordering links, and permanent takeaway ordering points. Customers can reuse these QR codes repeatedly, and payment availability follows the same logic as Dynamic QR.

Customer Details
You can enable customer detail collection during checkout, so customers may enter their name and contact number. This is especially useful for takeaway orders, helping staff identify customers during pickup.
Customize the Ordering Interface
Go to IDEFOOD → Appearance to upload your store logo, add banners, configure theme colors and fonts, and add announcement text. This helps maintain brand consistency.

Recommendations
Go to IDEFOOD → Appearance → Appearance Setting and open the Recommendation section to promote a set of items to customers. When enabled, IDEFOOD shows a horizontal recommendation row on both the ordering (landing) page and the checkout page, with a badge on each recommended item. It applies to both the IDEFOOD QR web app and the Kiosk.
- Enable — turns the recommendation row on or off (off by default).
- Recommendation Title — the heading customers see (free text, up to 32 characters; for example, “Best Deal for You”).
- Show Recommended Items — how many items to display (5 to 10).
The recommended items are selected automatically from your best-selling items (based on that store’s sales) - it is not a manually picked list.
Generate QR Codes
Takeaway QR
How to Create
- Go to Table Management → QR Generator.
- Click Add QR.
- Enter a name in the Table Number field (can be any identifier).
- In the Available For field, select Takeaway (the options are Dine In, Takeaway, and Delivery).
- Select the store.
Note Avoid using one QR code across multiple stores, to prevent order-routing confusion.

Table QR
Preparation
- Go to Table Management → Table Setup.
- Enable Show Table Setup.
- Click Add Area.
- Configure the area name, table name, table shape, pax size, and time limit.


Once tables are created, their QR codes are automatically generated. You can copy the ordering links, download the QR images, and print and place them on tables.
Note If you rename or delete a table and recreate it, the QR link changes. You must reprint the QR code.
Customer Ordering Flow
When customers scan a Takeaway QR or open the ordering link, they see the corresponding menu with Takeaway shown at the top. When they scan a Table QR, the table number is shown instead.

To order, the customer taps + to add items, taps the Cart to review, enters customer details (if enabled), and taps Order Now.
Payment options then appear - Pay Later when only offline payment is enabled, or the available gateways when online payment is enabled. Once confirmed, the order is sent to the POS.
Order Management
Takeaway Orders
A notification appears in the POS, and orders are listed on the POS Online Order screen.
For merchants in Singapore and Indonesia, the Online Order screen is split into three tabs:
- Idefood — QR / IDEFOOD orders, including takeaway. This is where QR ordering orders appear.
- Online — third-party delivery orders (for example GrabFood, foodpanda, Lalamove).
- Scheduled Order — orders scheduled for a future date or time.
In other countries the tabs are not shown, and all online orders appear in a single list.


Table Orders
Dine-in orders placed via QR appear in the standard Order view.
Order Status Updates
In the Online Order (Idefood) list, each order shows:
- Pay — record payment for an unpaid order.
- A progress button — advances the order to the next status (for example Preparing → Ready → Complete). The button label follows your configured order statuses.
- Cancel — available before the order starts preparing.
The progress button (Preparing / Ready) appears on the POS only because Action Button Status is enabled in the Portal, under Settings → Order Status (IDEPOS). If Action Button Status is turned off, the POS does not show these progress-advance buttons.
Note If your store uses a KDS (Kitchen Display System), the order statuses are driven from the KDS instead - kitchen staff advance Preparing / Ready / Complete on the KDS/EDS screen. KDS is a separate status channel, so in a KDS setup the kitchen moves the order along rather than the cashier doing it on the POS.

When you advance the order to Preparing, the customer sees the updated status on their phone.

When the order is Ready, the progress button lets you mark it Ready / Complete, and the status updates on the customer screen.

Important Notes
Separate QR Use Cases
For clarity, create different QR codes for different purposes, and avoid using one QR for multiple stores.
Verify Menu Settings
For takeaway QR ordering to work, open the menu settings and make sure that under Available for the Takeaway option is selected, and under Devices the QR Order option is selected. Otherwise, menus will not display correctly.
Best Practices
- Use Static QR for stable dine-in experiences.
- Use Dynamic QR only for temporary access.
- Test payment flows before going live.
- Clearly label takeaway pickup instructions.
- Maintain consistent branding in the ordering UI.
- Align table setup with your real floor layout.
Common Pitfalls
- Forgetting to enable QR Order device availability in Menu settings.
- Using one QR across multiple stores.
- Not reprinting the QR after table changes.
- Assuming offline payment confirms actual payment.
- Misconfiguring delivery vs dine-in menus.
- Not testing customer order status visibility.
